Job Description

Key Responsibilities

Office & Team Support

  • Oversee daily office operations.
  • Provide administrative support to project managers and team members.
  • Record, prepare, and distribute meeting minutes and action items.
  • Maintain organised electronic and physical filing systems.
  • Coordinate scheduling for sourcing, drafting, and project teams.
  • Translate between English and Vietnamese for internal teams, suppliers, and stakeholders.
  • Facilitate smooth communication between international teams.



Financial and Project Administration

  • Process invoicing, purchase orders, and payments for project activities.
  • Support supplier due diligence and quality assurance administration.
  • Maintain accurate records for shipping, compliance, and financial documentation.



Supply Chain & Logistics Coordination

  • Liaise with freight forwarders and logistics specialists to ensure timely product shipments across Asia.
  • Manage shipping documentation, customs paperwork, and compliance requirements.



Project Coordination

  • Maintain and update project plans in project management tools .
  • Monitor project timelines, deliverables, and dependencies.
  • Provide regular progress and status updates to management and stakeholders.

The Successful Applicant

Experience Qualifications

  • Strong communication skills in English and Vietnamese (written and verbal).
  • Proven experience in office administration, operations, or project coordination.
  • Experience in procurement, invoicing, and financial administration.
  • Proficiency in project management and collaboration tools (e.g., Airtable, Excel).
  • Excellent attention to detail, time management, and organisational skills.
  • Ability to work in a cross-cultural or international business environment.



Desirable:

  • Experience in construction, manufacturing, or product development.
  • Knowledge of logistics, freight forwarding, and supplier compliance processes.
